("Aptsource Software", "we", "our", or "us") collect, use, disclose, and protect information obtained through the InnoVet and ConnectInnoVet mobile applications ("Apps") and the related services available through the ConnectInnoVet veterinary ecosystem at https://www.happyfurandfeather.com.
We are committed to safeguarding your privacy and ensuring the security of the information entrusted to us, including veterinary medical records and professional practice data.
1. Information We Collect
a. Google Integration Data: When you choose to connect your Google Account, we may collect and process information necessary to provide Google-integrated functionality, including:
● OAuth access tokens and refresh tokens.
● Google Calendar event identifiers (Event IDs).
● Google Meet conference information associated with scheduled consultations.
● Note: We do not use Google profile pictures for App functionality.
b. Calendar Data: We may access and process calendar events created or modified through Google Calendar integration, including appointment details and associated Google Meet links used for veterinary consultations and scheduling.
c. Device Identifiers: We collect device identifiers such as Android ID and Firebase Cloud Messaging (FCM) registration tokens. These identifiers are used solely to associate your device with notification services and maintain application functionality.
d. Device Camera Access (Profile Pictures Only): We access your device's camera or photo gallery solely when you choose to capture or upload a profile picture for your account. This image is stored securely and used exclusively for account management and identification within the Apps. We do not capture, record, or store photos or videos for any other purpose.
e. Device Microphone & Speech-to-Text Data: The Apps provide speech-to-text functionality to assist veterinary professionals in preparing prescriptions and taking notes efficiently.
● When you explicitly activate this feature, the App requests permission to access your device's microphone.
● Audio data is transmitted to Google's Speech-to-Text service to be processed ephemerally and translated into text in real-time.
● We do not record, save, or permanently store raw audio files on our servers or your device.
● The generated text transcripts are stored within the Apps as part of your consultation notes, medical records, or prescriptions.
f. Veterinary Media and Medical Records: We collect and store information that you manually upload or create within the Apps, including pet medical records, consultation notes, prescriptions, diagnostic reports, static images, laboratory results, documents, and attachments.
2. How We Use Your Information
We use the information we collect solely to provide, maintain, and improve the Apps and related veterinary services. Specifically, we use information to:
● Enable veterinary appointment scheduling and calendar functionality.
● Create and manage Google Calendar events and generate Google Meet consultation links.
● Synchronize appointments between the Apps and connected Google Calendar accounts.
● Send reminders and updates using Firebase Cloud Messaging (FCM).
● Facilitate secure sharing of veterinary records between authorized users.
● Store and manage user-uploaded veterinary medical records and related documentation.
● Convert user speech into text via the microphone when speech-to-text functionality is explicitly used.
● Maintain account security, verify user identities, and prevent unauthorized access.
● Provide technical support and troubleshoot service issues.
● Comply with legal and regulatory obligations.
Our Data Promise: We do not use personal information, veterinary records, consultation content, transcripts, microphone inputs, camera images, or medical data for advertising, behavioral profiling, or marketing purposes.
3. File Storage and Security
We implement rigorous administrative, technical, and organizational safeguards designed to protect information from unauthorized access, disclosure, alteration, or destruction:
● All files, images, and medical records are stored securely.
● Access is strictly limited to authorized account users and individuals with whom you intentionally choose to share data.
● All data is transmitted over secure, encrypted channels (HTTPS/TLS in transit).
● Security measures are regularly reviewed and updated to meet modern industry standards.
While we strive to protect your information, no internet-based service or electronic storage system can be guaranteed to be 100% secure.
4. Use of Google APIs
Our use of information received from Google APIs complies with the Google API Services User Data Policy, including the applicable Limited Use requirements.
When you choose to connect your Google Account, we may access and process Google data necessary to provide requested functionality, including:
● Google Calendar Data : Required to create, retrieve, update, and manage veterinary appointments and synchronize them with your device.
● OAuth Credentials : Access tokens and refresh tokens required to securely communicate with Google services on your behalf without exposing your password.
● Google Meet Conference Data : Generated via Google Calendar APIs for scheduled telemedicine consultations.
The Apps also utilize Google's Speech-to-Text services to convert real-time voice inputs into text for veterinary note-taking and prescription preparation. Audio submitted for transcription is processed ephemerally solely to generate text transcripts and is not stored or recorded.
Information obtained through Google APIs is never sold, used for advertising, shared with data brokers, or used for user profiling unrelated to the Apps' core operational features. Access to Google user data is limited strictly to what is reasonably necessary to provide the features requested by the user.
5. User Controls and Data Deletion
You retain full control over your information and have the right to:
● Revoke Google account access at any time through your personal Google Account Security settings.
● Delete specific files and records that you have uploaded from within the App interface.
● Manage, silence, or disable push notifications through your mobile device operating system settings.
Account Deletion: You may permanently delete your account and all associated data directly through the App Settings menu. Alternatively, you may submit an official deletion request by contacting us at relations@happyfurandfeather.com
Upon verification of your identity and request:
● Personal account information will be permanently deleted.
● Associated data not required by law or explicit professional retention obligations will be removed from our systems within 30 days.
6. Third-Party Services and SDKs
The Apps integrate with trusted third-party SDKs and infrastructure services that support core features:
● Google Sign-In & Google Calendar API : Used for secure authentication, account linking, calendar integration, and generating Google Meet appointment links. Governed by the Google Privacy Policy (https://policies.google.com/privacy).
● Firebase Cloud Messaging (FCM) : Used to transmit push notifications and service alerts. Device identifiers and tokens are passed to Google's Firebase infrastructure solely to route notifications to your specific device. Receiving notifications does not require you to link a Google Account. Governed by the Google Privacy Policy.
● Google Meet : Used for virtual veterinary consultations. When you initiate a meeting, the App coordinates links generated via the Calendar API. The live audio/video data inside a Google Meet session is processed directly by Google and is governed by Google's applicable terms and policies.
● Google Speech to Text : Used to translate microphone speech into text notes and prescriptions. Audio streams are processed by Google's cloud service ephemerally. We do not record or store the audio recordings. Processing of this data is subject to Google’s Cloud Service Terms and Privacy Policy.
7. Data Retention
● Account information : Maintained while your account remains active. Upon account deletion, personal account details are wiped within 30 days unless required for legal compliance.
● Veterinary Records and Media : Medical charts, prescriptions, consultation notes, uploaded images, and text transcripts are retained until you manually delete the content, request account deletion, or until legal or professional compliance retention obligations expire.
● Microphone Audio Streams : Retained for 0 seconds. Raw audio data used for transcription is completely discarded immediately after the text transcript is generated.
● Device Identifiers and FCM Tokens : Retained only for as long as necessary to maintain active notification links. They are completely flushed when your account is removed or when the device registration changes.
● Google Integration Tokens : OAuth credentials and synchronization metadata are retained only while your Google integration remains active and are deleted instantly if you revoke permissions.
8. Children’s Privacy
The Apps are intended exclusively for licensed veterinary professionals and adult pet owners; they are not directed toward individuals under 18 years of age. We do not knowingly collect personal information from children under 18. If you believe information relating to a child has been inadvertently collected, please contact us immediately at relations@happyfurandfeather.com and we will take immediate steps to purge that data.
9. Changes to This Privacy Policy
We may update this Privacy Policy periodically to reflect changes in our services, application permissions, or legal frameworks. When material changes are made, we will update the "Last Updated" date at the top of this policy and notify you via an in-app notice or email. Continued use of the Apps following publication of revised policies constitutes an acceptance of the updated Privacy Policy.
